To order online, go to res.rosemont.com and log in. Returning exhibitors can use their credentials from 2024 or 2025 or follow the “reset password” instructions if forgotten. New exhibitors will need to register and create an account using the email address provided on their exhibitor application. To set a password, click “Register.” Once your password is created, return to the login page and enter your email address and newly created password.
To order using the PDF forms in the Exhibitor Services Manual, follow the instructions contained within each form. Place your order by May 27, 2026 to receive the best rate.

FAQs
Why is exhibitor setup one day earlier this year, and why was the Tuesday Welcome Reception moved from Joe’s Live to the exhibit hall?
OMTEC has grown significantly, and with that growth comes a few changes.
For many years, our Tuesday Welcome Reception was held off-site at Joe’s Live. While it was a great venue, OMTEC attendance has grown to the point that the space can no longer accommodate the event, and there are no comparable off-site restaurant venues large enough for our group.
To continue hosting the full OMTEC community together, we’ve moved the Welcome Reception to the exhibit floor. This also aligns with feedback we’ve received from OEM attendees requesting more time to connect with exhibitors.
Because the exhibit hall must be fully prepared for the reception, exhibitor setup will now take place on Monday, with a brief touch-up window available Tuesday morning.
Our team is making significant investments in lighting, sound, décor and food & beverage to create an energetic and memorable experience on the show floor. While the setting will be different from past years, our goal is the same as always: to create meaningful connections and deliver strong value for exhibitors and attendees alike.
What are the Exhibit Hall Hours and when can I move in and out?
Exhibitor Move-in:
- Friday, June 5: 12:00 pm – 5:00 pm (early move-in for local labor only)
- Monday, June 8: 8:00 am – 5:00 pm (official move-in)
- Tuesday, June 9: 7:00 am – 10:00 am (late allowance)
Exhibit Floor Hours:
- Tuesday, June 9: 4:00 pm – 6:00 pm (Exhibit Floor Open House and Happy Hour in the Cafe)
- Wednesday, June 10: 9:30 am – 6:00 pm
- Thursday, June 11: 8:00 am – 1:00 pm (There is a 30-minute courtesy window to allow attendees to exit before dismantling begins.)
Exhibitor Dismantling and Move-out:
Exhibitors are asked to refrain from dismantling their booths before the official exhibit hall closing time out of respect for fellow exhibitors, attendees and the thousands of hours invested in planning and executing the event. Early teardown disrupts the experience for others and is prohibited under the exhibit booth contract.
- Thursday, June 11: 1:30 pm – 5:00 pm (The event ends at 1:00 p.m. There is a 30-minute courtesy window to allow attendees to exit before dismantling begins.)
- Friday, June 12: 8:00 am – 12:00 pm (overflow)
Can you help me obtain a visa?
Letters of invitation will not be issued. From the U.S. State Department website:
“Visa applicants must qualify based on their ties abroad/to their home country, rather than assurances from U.S. family and friends. A letter of invitation or Affidavit of Support is not needed to apply for a visitor visa. If you choose to bring a letter of invitation or Affidavit of Support to your interview, please remember it is not one of the factors used in determining whether to issue or deny the visa.”
The OMTEC website and the information contained within it will prove that OMTEC is a legitimate business event.
Are there rules about booth displays and hanging signs?
Yes! Every booth, regardless of size or location, deserves clear visibility. Adhering to sightline rules prevents one exhibitor’s setup from overshadowing another. Following display height guidelines helps maintain a clean, organized and visually appealing exhibit space for all participants.
Inline Booths (10×10, 10×20):
- Maximum back wall height: 8 feet (2.44m)
- Maximum side wall height:
- 4 feet (1.22m) in the front 5 feet of the booth
- 8 feet (2.44m) in the back 5 feet
- Hanging signs not permitted for inline booths.
Island Booths (20×20):
- All 20×20 booth displays require pre-approval from show management— submit booth rendering to The OMTEC Team.
- No height restriction in most cases.
- Hanging signs are usually allowed but must fit within the booth footprint.
What are the outbound shipping procedures?
Exhibitor Outbound Shipping Checklist:
- Pick up your Bill of Lading (BOL) onsite from the RES Service Center in the exhibit hall.
- Schedule your carrier: all outbound carriers must check-in by 3:00 pm on Thursday, June 11 at the marshaling yard.
- Pack and label all freight before submitting your BOL. Freight won’t be dispatched until your BOL is completed and turned in at the RES Service Center.
- Once the BOL is submitted, RES will collect freight from your booth. Exhibitors do not need to stay.

How do I update my company’s information in the Exhibitor List?
Contact us and we will send you a unique link to edit your company’s information. Alternatively, email us your updates and we’ll take care of it. Note: We’ve taken the liberty of adding logos, contact information and company descriptions (up to 500 characters) for all exhibitors.
What is your cancellation policy?
Booth and sponsorship cancellations received before February 1, 2026 will be refunded 50% of sale value. Cancellations after this date will not be refunded.
Are there food, beverages and Wi-Fi at OMTEC?
Yes, yes and yes! We serve full, hot meals each morning and afternoon with plenty of refreshments and snacks available throughout the day. And, of course there’s Wi-Fi at no charge.
Important: Do not book hotels through unauthorized hotel companies.
OMTEC is not associated with any housing company, and we will never contact you to book hotel rooms or request payment for accommodations. If you receive emails or phone calls offering OMTEC hotel reservations, they are unauthorized solicitations and should be treated as fraudulent.
